Aurora USA Soccer Academy ("AUSA,""we," "our," or "us") is a nonprofit youth soccer organization based in Aurora / Oswego, Illinois. We are committed to protecting the privacy of the children, parents, and guardians who participate in our programs.
This Privacy Policy explains what information we collect, how we use it, with whom we share it, and the rights you have regarding your data. It applies to our website at aurorausasoccer.com and all online registration and payment services we operate.
1. Information We Collect
We collect information that you provide directly when registering players or contacting us:
- Player information: first and last name, date of birth, gender, age group, program enrollment, uniform size, and jersey number.
- Parent / guardian information: full name, email address, phone number, and relationship to the player.
- Payment information: billing name and address. Credit and debit card numbers are processed directly by Stripe and are never stored on AUSA servers.
- Communications: messages you send us through the contact form, including name, email, phone, and message content.
- Automatically collected: standard web server logs (IP address, browser type, pages visited) for security and operational purposes only.
2. Children's Privacy (COPPA)
Our programs serve children, including children under the age of 13. We do not knowingly collect personal information directly from children under 13 without verifiable parental or guardian consent. All registration for minor players is completed by a parent or legal guardian who provides consent on behalf of the child.
If you believe we have inadvertently collected personal information from a child under 13 without proper consent, please contact us immediately at contact@aurorausasoccer.com and we will promptly delete that information.
3. How We Use Your Information
We use the information we collect solely to operate our nonprofit soccer academy:
- Register players in programs, tryouts, and summer camps.
- Process tuition payments and issue receipts.
- Send program updates, schedules, and important club communications.
- Respond to inquiries submitted through our contact form.
- Comply with legal obligations applicable to nonprofit organizations in Illinois.
- Maintain the safety and security of our website and services.
We do notuse your information for advertising, profiling, or any commercial purpose unrelated to AUSA's programs.
4. Third-Party Service Providers
We share limited personal data with the following trusted providers solely to operate our services. Each provider maintains its own privacy policy governing how it handles data:
- Secure cloud database provider — your registration and player data is stored in an encrypted, access-controlled cloud database hosted by a SOC 2-certified infrastructure provider.
- Stripe — payment processing. Stripe handles all credit and debit card transactions. AUSA does not store card numbers, CVV codes, or full payment credentials. (Stripe Privacy Policy)
- Transactional email provider — we use a third-party email delivery service to send registration confirmations and club communications to the email addresses you provide.
We do not sell, rent, or trade your personal information to any third party for any purpose.
5. Data Retention
We retain personal information for as long as a player is actively enrolled in AUSA programs. After a player becomes inactive, we retain records for a reasonable period (generally up to three years) to fulfill legal and accounting obligations applicable to nonprofit organizations, and then securely delete or anonymize them.
6. Your Rights
As a parent, guardian, or adult participant, you have the following rights regarding the personal information we hold:
- Access: request a copy of the personal data we hold about you or your child.
- Correction: request that we correct inaccurate or incomplete information.
- Deletion: request that we delete your personal data, subject to legal retention requirements.
- Opt-out: unsubscribe from non-essential club communications at any time.

7. Security
We implement reasonable technical and organizational measures to protect your personal information, including encrypted data transmission (HTTPS), access controls, and use of industry-standard third-party platforms. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.
8. Governing Law
This Privacy Policy is governed by the laws of the State of Illinois, without regard to its conflict-of-law provisions. Any disputes arising under this policy shall be resolved in the courts of Kane County, Illinois.
9. Changes to This Policy
We may update this Privacy Policy periodically. When we do, we will revise the effective date at the top of this page. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
